Circulo's streamlined training management that reduced onboarding errors and boosted retention for I/DD specialists.

Overview

The Circulo Admin Tool was designed to help administrators manage compliance with state training requirements for intellectual and developmental disabilities (I/DD) specialists.

As the Senior UX Designer, I led the creation of a centralized CRM that enables administrators to monitor training progress, manage staff records, and reduce onboarding mistakes.


Objectives

Introduce automated tracking for training completion and document submission to prevent manual errors and streamline onboarding.

Simplify the interface by decluttering key screens, making it easy for administrators to manage staff profiles, training tasks, and work hours.

Implement search and batch-editing options to allow for efficient training assignment and regional task updates.


Key Challenges

Before this tool, administrators relied on manual tracking and cluttered interfaces, leading to onboarding errors and delays in compliance updates.

The challenge was to ensure the CRM balanced the need for data management and an easy-to-navigate design for high-volume hiring and onboarding.

The Circulo Admin Tool includes several functions tailored to the needs of administrators managing I/DD specialists:

Centralized Staff Profiles

Redesigned profiles with visual cards to highlight onboarding progress, ensuring employee information is accessible at a glance.


Region-Based Bulk Modification

Developed a search function with bulk modification options, allowing admins to assign training requirements by region, improving efficiency for location-based updates.


Enhanced Task Checklist

Integrated a task checklist with assigned dates, updated statuses, and drop-downs to display required documents, helping administrators track compliance easily.


Internal Testing and Validation

We conducted ongoing testing with administrators to refine usability, ensuring the CRM met their needs for speed and accuracy. Feedback showed increased onboarding efficiency, a decrease in manual errors, and greater ease of use in managing compliance tasks.
